Privacy Policy

Your trust matters to us - here's how we keep your info safe

Last updated: October 20, 2025

Introduction

Look, we get it - nobody actually enjoys reading privacy policies. But here at Ignis Flamecrest Architecture, we're not about hiding behind legal jargon or making things complicated just 'cause we can.

This policy spells out what happens with your personal info when you visit our site, reach out for a consultation, or work with us on a project. We've tried to keep it straightforward and honest.

Based in Toronto, we follow Canadian privacy laws (PIPEDA, if you're into acronyms), and we take that responsibility seriously. Your data isn't just some abstract thing to us - it's your trust, and we don't mess around with that.

What Information We Actually Collect

We're not in the business of hoarding data. We only grab what we need to serve you better:

Stuff You Give Us Directly
  • Your name, email, phone number when you fill out our contact form
  • Project details you share during consultations
  • Property addresses for site visits and project planning
  • Budget info and timeline preferences
  • Payment details for invoicing (we don't store credit card numbers, that's handled by our payment processor)
Automatically Collected Technical Bits
  • Your IP address and general location (city-level, not your exact GPS coordinates)
  • Browser type and device info
  • Pages you visit on our site and how long you hang around
  • Referring websites (how you found us)

We don't track you across the internet or do any of that creepy retargeting stuff. What happens on our site stays on our site.

How We Use Your Information

Here's the deal - we use your info to actually help you, not to spam you or sell it to random companies. Specifically:

Project Communication

Responding to your inquiries, scheduling site visits, sending proposals, and keeping you updated on your project's progress.

Service Delivery

Actually doing the work you hired us for - designs, permits, construction oversight, all that good stuff.

Website Improvements

Understanding what parts of our site are useful (or confusing) so we can make it better.

Legal Obligations

Keeping records for tax purposes, contracts, and regulatory requirements in the construction industry.

Newsletter stuff: If you sign up for our occasional newsletter, we'll send you project updates and design insights. That's it. No daily spam, no random promotions. And yeah, there's always an unsubscribe button.

Who We Share Your Info With

We're not selling your data to anyone. Period. But we do share it with some folks who help us do our job:

Project Partners

Engineers, contractors, surveyors, and other pros we bring onto your project. They only get what's relevant to their part of the work.

Government Agencies

City planning departments, building inspectors - basically anyone who needs to sign off on permits and approvals.

Service Providers

Our email service, website hosting company, cloud storage for project files - the tech that keeps things running. They're all bound by contracts to keep your data secure.

Legal Requirements

If we're legally required to hand over info (like a court order), we'll do it. But we'll let you know unless we're legally prevented from doing so.

Pro tip: If you'd rather we didn't share your completed project in our portfolio, just say so. We always ask permission before featuring client work publicly.

Cookies & Tracking

Okay, so cookies - not the delicious kind, unfortunately. These are tiny files that help our website remember stuff and work properly.

We use three types:
  • Essential cookies: These keep the site working. Can't really turn these off without breaking things.
  • Analytics cookies: Help us see what's working and what's not on the site. All anonymous, no personally identifiable stuff.
  • Preference cookies: Remember your choices like language settings or form info so you don't have to re-enter everything.

You can disable cookies in your browser settings, but heads up - some parts of the site might get weird. Most browsers let you control cookies pretty easily these days.

Your Rights (Yeah, You've Got 'Em)

Under Canadian privacy law, you've got some solid rights when it comes to your personal data. Here's what you can do:

Access Your Data

Request a copy of everything we have on you. We'll send it over in a readable format within 30 days.

Correct Your Info

Spot something wrong? Let us know and we'll fix it. Outdated phone number, changed address - whatever needs updating.

Delete Your Data

Want us to erase your info? We'll do it, unless we're legally required to keep it (like for tax records or active contracts).

Opt-Out of Marketing

Don't wanna hear from us anymore? Hit unsubscribe on any email or let us know directly. No hard feelings.

To exercise any of these rights, just shoot us an email at contact@ignisflamecrest.info or give us a call. We'll verify your identity (gotta make sure we're not handing your data to some random person) and then handle your request.

How We Protect Your Data

We take security seriously - like, really seriously. Your info is valuable and we treat it that way:

  • Encrypted connections: Our website uses SSL/TLS encryption. That's the little padlock you see in your browser - means your data is scrambled when it travels to us.
  • Secure storage: All client files and personal data are stored on encrypted servers. Only our team members who actually need access to do their jobs can get in.
  • Limited access: We've got strict policies about who can see what. Junior staff don't have access to financial info, for example.
  • Regular backups: We back up everything regularly and keep those backups secure. If something goes wrong, we can recover your data.
  • Secure deletion: When we delete data, it's properly wiped - not just tossed in a recycle bin where someone could recover it.

Real talk: No system is 100% hack-proof. We do everything we reasonably can to protect your data, but if there's ever a breach, we'll let you know right away and tell you what happened and what we're doing about it.

Data Retention

We don't keep your data forever. Here's the general timeline:

  • Active projects: For the duration of the project plus 7 years (that's the legal requirement for construction records in Ontario)
  • Contact inquiries: If you reach out but don't hire us, we'll keep your info for 2 years max, then delete it
  • Newsletter subscribers: Until you unsubscribe
  • Financial records: 7 years for tax purposes (CRA requirement)

After these periods, we securely delete or anonymize the data. If you want us to delete stuff sooner, just ask - we'll do it unless there's a legal reason we can't.

Third-Party Links

Sometimes we link to other websites - maybe a supplier's site, a building product manufacturer, or a city planning portal. Just FYI: once you click away from our site, this privacy policy doesn't apply anymore.

We try to only link to reputable sites, but we can't control their privacy practices. Always check their policies if you're sharing personal info on other sites.

Kids' Privacy

Our services aren't directed at anyone under 18. If you're a parent and think your kid has given us their info, let us know and we'll delete it ASAP. Architecture consultations aren't really a thing for minors anyway, but just putting it out there.

Changes to This Policy

Privacy laws change, technology evolves, and sometimes we update how we do things. When we make changes to this policy, we'll post the new version here and update the date at the top.

If it's a major change that affects how we use your data, we'll send you an email heads-up (if we have your email). Otherwise, checking this page now and then is a good idea if you're curious about updates.

Questions? Concerns? Let's Talk

Look, privacy stuff can be confusing. If you've got questions about this policy or how we handle your data, don't hesitate to reach out. We'd rather answer your questions than have you wondering.
